This Medecon Website Privacy Policy (“Policy”) describes our practices for handling personal information, Event Registration, Cancellation / Refund Policy for an event with us and communication through official Medecon websites or received via e-mail.
Medecon is committed to safeguarding your personal information. Some Medecon web pages contain hyperlinks to websites owned and operated by third parties. These third party websites have their own privacy policies, including cookies, and we urge you to review them. They will govern the use of personal information you submit or that is collected by cookies when you visit these websites. We do not accept any responsibility or liability for the privacy practices of such third party websites and your use of such websites is at your own risk.

When you interact with Medecon through our websites or via e-mail, we receive personal data relating to you or to someone we deem has authorized you to provide this information to us.
Typical cases where we collect your personal data include when you register for an event organized by us, when you apply for an open position at Medecon, when you subscribe to one of our newsletters or publications, when you use one of the scientific services we provide or when you interact directly with us via e-mail for scientific, organizational or other purposes.
When you participate in, access or sign up to any of our services, activities or online content, for instance if you create an account with one of our services, we may receive personal information about you. Depending on the activity, this can consist of information such as your name, email address and more rarely postal address, or your telephone or mobile number. In particular, if you submit data to one of our databases (e.g. the European Nucleotide Archive) or create an account on one of our project portals we require a valid email address to create the account. By submitting your details, you enable us to provide you with the services, activities or online content you select.
We also use cookies and collect IP addresses (an IP address is a number that can uniquely identify a specific computer or other network device on the internet) from visitors to our websites.

Payment of Registration Fees
1. Medecon events registration can be made as online payments. For payments that are made by bank transfer, all bank transfer fees must be covered by the participant and may not be deducted from the amount remitted. All registration data submitted to Medecon will be treated confidentially.
2. Upon registration a confirmation email will be sent automatically to the registrant.
a. For events with registration on a first come first served basis, this confirmation email serves as proof of registration and specifies all event details included in the registration.
b. For events with registration only after a prior selection process, the confirmation email serves as proof of pre-registration. The outcome of the final selection, and, for those registrants who have been selected, the invitation to complete the full registration and make the payment of the registration fees, will be communicated via email to each registrant.
Receipts
Your receipt will be emailed to you at the email address you provided at registration. If you do not receive a receipt, please contact the Medecon office at info@medecon.ae with your name, event you registered for and date you registered.
Cancellation / Refund Policy
If you are unable to attend:
• Refunds for registration, less a AED50 handling charge, are available if Medecon is informed, in writing, one week (5 working days) before the workshop date.
No reimbursement will be made if you fail to attend a Live Event for which you have registered and have not cancelled at least 7 days prior to the Live Event date.
If weather or an emergency causes an Medecon event to be postponed or cancelled:
Our concern is the safety of our registrants, speaker and staff. Medecon will use our discretion in making decisions regarding our Events. We will base decisions on any emergency in the geographic area where our Event is to be held or at the point of departure from where our speaker and staff originate their travel or affecting our venue.
Medecon will take the following steps to notify registrants of the status of the Event, when we have sufficient advance warning to do so:
• Those registered who have provided a valid email address will receive an email notification alerting them of cancellation or postponement;
• Those registered who have not provided an email address will be notified by telephone at the number they provided at the time of registration.
If an Event is cancelled by Medecon:
A 100% credit for a future Medecon workshop will be issued. Please note: Medecon cannot accept responsibility for any expenses incurred by the participant from charges that involve travel, accommodations, or other expenses related to attending an Event. These are the sole responsibility of the participant as well as all risks associated with non- refundable purchases.
Service as an Invited Speaker
If you agree to speak at a Medecon event, we collect the information described in section one. Sometimes we may also request a biography and photograph. We collect this information to make it available to conference applicants and attendees. Accordingly, if you agree to speak at a Medecon event, we post on the respective event website your personal information (other than payment information), including your name, Designation & Employer. This is so that visitors to the Medecon website, including conference / course applicants, attendees and speakers can see and know the speaker.
Usage of Photographic and Video Material taken at Medecon Events
Medecon takes photographic and video material of participants at events. In registering for an Medecon event you acknowledge that we may include images of yourself intact or in part for material used in various publications, press releases, promotional activities, or other related endeavors. This material may also appear on the Medecon’s internet web page or related social media pages.
Usage of Social Media to Share Information
Medecon welcomes and encourages the use of social media by participants. As a courtesy to other members, as well as to presenters at such events, we ask that you follow accepted social media etiquette.

• Use the event-specific hashtag as communicated during the event for any related tweets
• Remember that unpublished data presented at Medecon events should be regarded as confidential, and should not be published
• Tweet about the conference and sessions (without sharing unpublished information or data)
• Gain approval from a speaker or poster presenter prior to quoting or publishing that individual’s scientific results
• Be respectful in tone and content
• Mute your cellphone/laptop/tablet volume to avoid disrupting sessions

• Capture, transmit or redistribute data presented at the meeting - this may preclude subsequent publication of the data in a scholarly journal
• Use offensive language in your posts
• Engage in rudeness or personal attacks
